About the Role

We are seeking an experienced Program Support Officer (AO3 level) to provide essential administrative and logistical support to the Project Managers and delivery team working on a high-profile infrastructure project – the $490 million Barron River Bridge Replacement Project. This significant project is expected to attract considerable attention from external stakeholders and the public, requiring a professional who can support smooth operations across all aspects of project administration.

Key Responsibilities

  • Provide high-level administrative support to the Project Manager and project team, including:
    • Coordinating and scheduling team and stakeholder meetings
    • Preparing and distributing agendas and minutes
    • Tracking and following up on action items to ensure timely completion
    • Assisting with procurement and HR-related documentation
  • Act as secretariat for the Project Steering Committee, ensuring effective committee operations and governance.
  • Manage document control processes, ensuring all project documents are stored and maintained in line with appropriate records management standards and retention schedules.
  • Utilise a broad range of computer software applications (including Microsoft Office Suite), databases, and information management systems to support timely and efficient project delivery.
  • Maintain registers and spreadsheets, update presentations and project documentation, and manage internal communications relevant to project milestones.
  • Support performance management of project administration functions to ensure deadlines are met and quality standards are upheld.
  • Ensure all administrative practices align with relevant legislative, policy, and governance requirements (including Workplace Health and Safety).

About You

To be successful in this role, you will demonstrate:

  • Proven experience in a project or program support role, preferably in a large-scale infrastructure or government setting
  • Strong administrative and organisational skills with the ability to manage competing priorities
  • High attention to detail and ability to track and follow through on actions
  • Excellent written and verbal communication skills
  • Strong proficiency with Microsoft Office and experience using document and records management systems
  • A proactive, team-oriented attitude with the ability to work independently when required
